03RESIDENTS, CONTRACTS & RENEWALS

Keep the agreement with the account.

Staff can record contract dates, notes and history alongside the resident account, with an optional uploaded copy. Review upcoming dates in context, even when a paper document is not available.

01

A reminder helps the team review a date. It does not end occupancy, remove outstanding debt or authenticate a legal document.

04RENT RECORDS & FINANCIAL VISIBILITY

Know what was billed. See what remains.

Accountants and authorized managers can follow invoices, recorded receipts and their allocations. Partial payments reduce the invoice balance while preserving the difference between billed income and money recorded as received.

05UTILITIES & OPERATING EXPENSES

Shared services. Explainable charges.

Start with the supplier bill and its service period. Managers and accountants review the configured allocation, participating units and required inputs before posting charges. Missing inputs stay visible for review.

06MAINTENANCE & VENDOR COORDINATION

An issue reported. The work connected.

Residents report an issue. Managers give it an owner. Assigned vendors record their progress, and authorized staff review completion. One case keeps the people, status and history connected.

ONE REQUEST. A CLEAR HISTORY.

Leaking kitchen tap

The request identifies the unit and describes the leaking tap. The resident can follow the case in their own portal.

Completing this sample request creates no expense, approved payment or financial posting.

07ONE OPERATION. DIFFERENT RESPONSIBILITIES.

The right context. For every role.

A connected team still needs clear boundaries. Explore how each role works with the records and tasks assigned to it. Shared context never means unrestricted access.

08MOBILE ACCESS & REMOTE OVERSIGHT

Close to the details. Wherever you work.

Residents can follow their account and requests through the company portal. Owners, including those abroad, can review the property information their organization makes available, without waiting for every update to become a separate message.

These are mobile web illustrations. Remote visibility does not imply foreign-currency collection or an approved remittance service.

12CLEAR ANSWERS

Before we get started.

The practical questions behind a connected property operation.

Talk to the team
Do I need a contract document for every unit?

An uploaded contract copy is optional. The team can organize the resident account, record dates and keep notes without it. A recorded date or uploaded file is not a claim of legal authentication.

How are partial rent payments represented?

An allocated payment reduces the invoice balance by the recorded amount. In our sample, ETB 50,000 less ETB 20,000 leaves ETB 30,000. The next scheduled rent date remains separate.

Can shared utilities be reviewed before posting?

Yes. Authorized staff can review the period, participating units, configured allocation inputs and exceptions. Supplier costs and resident receivables are different records. Missing required inputs should be resolved before allocation.

Does every team member see the same information?

No. Views and actions depend on organization, role, assignment and permissions. Residents see their own records; vendors work with their assignments. Operational access does not automatically grant financial authority.

Does a payment record mean the bank confirmed it?

A recorded payment and a provider-confirmed settlement are distinct. Bank and payment integrations depend on provider approval, configuration and testing. Ask which connections are active for your organization.

How do we choose the right setup and price?

Start with a discussion of your property types, units, people and workflows. The team can explain the proposed scope and commercial terms for your organization. Sending an inquiry does not create a booked appointment.
